Steering Committee Position Descriptions

Treasurer

The Treasurer is responsible for collecting and auditing membership dues, disbursing funds for garden expenses and reporting the financial status of WCS funds to the steering committee bi-monthly and garden membership quarterly. The treasurer collects annual dues and is responsible for following up with delinquent gardener payments with the warning/termination process outlined in the garden agreement. The treasurer must maintain a bank account for WCSCG. The Treasurer attends steering committee meetings and the annual garden membership meeting during which the annual budget is presented.

Secretary

The Secretary position’s responsibilities are to publicize, conduct, document minutes, create agendas and organize steering committee meetings and the annual garden membership meeting. The Secretary also is charged with posting updates such as meeting minutes to the garden’s groups.io site and  , calendar as well as other important garden wide announcements. The Secretary attends steering committee meetings and the annual garden membership meeting.  This position requires familiarity with word processing, document sharing and online communication tools like groups.io and Mailchimp.

Membership Coordinator

The Membership Coordinator committee position is responsible for tracking garden plot allocations: the members assigned to these plots and vacancies. The Membership Coordinator will maintain the master spreadsheet tracking all members, their contact information and their payment of membership dues. The position will necessitate working closely with the Treasurer for the purpose of tracking garden membership income. The Membership Coordinator is also tasked with liaising with SF Recreation & Parks Department, periodically communicating with them to make sure the waitlist of gardeners requesting a plot is up-to-date. When plots become available, the Membership Coordinator is responsible for outreach to those on the waitlist, meeting with prospective gardeners, explaining the Community Garden rules and expectations (including volunteer hours and dues), and adding them to Mailchimp and inviting them to the groups.io page, if they accept.  

The Membership Coordinator attends steering committee meetings and garden membership meetings.

Workday Coordinator

The Workday Coordinator’s main responsibility is recruiting workday leaders and organizing  garden maintenance tasks/special projects for the monthly volunteer workdays and potlucks. This position is also charged with monthly communication of  the Workdays via the groups.io  site and additionally using the garden’s membership email database. Collaboration with the Land-use Coordinator, other committee chairs and the garden membership is required to help organize these workdays. This position also entails tracking members’ workday hours. The Workday Coordinator attends steering committee meetings and the annual garden membership meeting.  This position may be shared between multiple people.

Land-Use Coordinator

The Land-Use Coordinator is responsible for tracking available community space, posting community space usage requests (for garden membership review) and surveying/ updating the garden map as land resource allocations change. This coordinator brings issues of misused, diseased, damaged or inappropriate planting to the attention of the garden via the steering committee. This position requires close interaction with the Workday Coordinator to schedule special projects for workdays. The Land-Use Coordinator attends steering committee meetings and garden membership meetings.

Sustainability/Compost Coordinator

The Sustainability  Coordinator is responsible for  leading the garden’s  compost and Zero Waste programs. Responsibilities include building and maintaining an active compost program and a Zero Waste program to ensure that green and other forms of garden waste are dealt with in a sustainable manner. e. This position requires close interaction with the Workday Coordinator for scheduling workday composting resource needs. This position also entails making arrangements to source and procure compost materials such as manure. The Compost Coordinator attends steering committee meetings and the annual garden membership meeting.
